Refund & Cancellation Policy

We understand that plans change. This policy outlines our cancellation and refund terms for different services.


1. General Cancellation Policy

Notice Requirements:

  • 48 hours minimum notice required for all cancellations or rescheduling
  • Notice must be submitted in writing via email to bookings@wellnesslinkbarbados.com
  • Cancellations by phone must be confirmed via email

Late Cancellations:

  • Less than 48 hours notice: Subject to cancellation fees
  • Same-day cancellations: Full fee may apply
  • No-shows: Full fee applies

2. Medical Concierge Services

Consultation Calls:

  • Free initial consultations can be rescheduled anytime with 24 hours notice
  • No fees for rescheduling consultation calls

Coordination Fees:

  • Coordination fees are non-refundable once service begins
  • If you cancel before we begin coordination work, full refund provided
  • If you cancel mid-coordination, partial refund based on work completed

Third-Party Medical Provider Fees:

  • Refund policies are determined by individual medical providers
  • We will assist with cancellation communication
  • Most providers require 7-14 days notice for refunds
  • Some deposits to medical facilities are non-refundable

3. Wellness Retreats

Deposit:

  • 20% of the total retreat price required to secure your booking
  • Deposits are non-refundable but can be transferred to future retreats
  • Deposit amount varies based on retreat package selected

Full Payment:

  • Balance due 30 days before retreat start date
  • Full refund (minus deposit) if cancelled 30+ days before retreat
  • 50% refund if cancelled 15-30 days before retreat
  • No refund if cancelled less than 15 days before retreat

Exceptions:

  • Medical emergencies (with doctor’s note): Credit toward future retreat
  • Force majeure (natural disasters, pandemics): Full credit or refund
  • Retreat cancellation by us: Full refund including deposit

4. Holistic Therapy Sessions

Individual Sessions:

  • 48 hours notice required for cancellations or rescheduling
  • First late cancellation: Warning, no fee
  • Subsequent late cancellations: Full session fee charged
  • No-shows: Full session fee charged

Package Purchases:

  • Therapy packages are non-refundable
  • Unused sessions can be transferred to another person (with practitioner approval)
  • Sessions expire 12 months from purchase date

5. Private Wellness Experiences

Custom Experiences:

  • 7 days notice required for full refund
  • 3-7 days notice: 50% refund
  • Less than 3 days notice: No refund
  • Vendor deposits (e.g., private chef, boat tours) are non-refundable

Weather-Related Cancellations:

  • Outdoor experiences cancelled due to weather can be rescheduled at no charge
  • If rescheduling is not possible, full refund provided

6. Accommodation and Travel

Accommodation:

  • Most properties require one month (30 days) minimum notice for refunds
  • Cancellations with less than one month notice are non-refundable
  • Refund policies determined by individual properties
  • We will assist with cancellation communication
  • Cancellation fees vary by property

Transportation:

  • Airport transfers: 24 hours notice for full refund
  • Private transportation: 48 hours notice for full refund
  • Same-day cancellations: No refund

7. Gift Cards

  • Gift cards are non-refundable
  • Unused gift card balances can be transferred to another person
  • Gift cards expire 12 months from purchase date
  • Extensions may be granted in exceptional circumstances

8. Force Majeure

In cases beyond our control, including but not limited to:

  • Natural disasters (hurricanes, earthquakes)
  • Pandemics or health emergencies
  • Political instability or civil unrest
  • Travel restrictions imposed by governments

Our Policy:

  • Full credit toward future services, OR
  • Full refund (including non-refundable deposits)
  • We will work with you to find the best solution

9. Medical Emergency Cancellations

If you must cancel due to a medical emergency:

Requirements:

  • Written notice as soon as possible
  • Doctor’s note or medical documentation
  • Explanation of why travel is not possible

Our Policy:

  • Credit toward future services (no expiration)
  • Refund of refundable amounts
  • Assistance coordinating with third-party providers
  • Flexible rescheduling options

10. Rescheduling

We encourage rescheduling rather than cancelling:

  • One free reschedule with 48+ hours notice
  • Additional reschedules subject to availability
  • Deposits and payments transfer to new dates
  • Subject to provider availability

11. Refund Processing

Timeline:

  • Refunds processed within 10-14 business days
  • Refunds issued to original payment method
  • Bank processing may take additional 5-7 business days

Exceptions:

  • Third-party provider refunds may take longer
  • International bank transfers may take 2-3 weeks

12. Disputes

If you disagree with a cancellation or refund decision:

  2. Provide detailed explanation and supporting documentation
  3. We will review within 5 business days
  4. Final decision will be communicated in writing

13. Travel Insurance

We Strongly Recommend:

  • Purchasing comprehensive travel and medical insurance
  • Reviewing insurance cancellation coverage
  • Understanding what is and isn’t covered
  • Keeping insurance documentation accessible

Travel insurance may cover:

  • Trip cancellation for covered reasons
  • Medical emergencies
  • Travel delays or interruptions
